A Bates number is a unique serial number affixed to each page of a document. Bates numbering is most often used on document images, particularly for litigation purposes. At Capital Typing, we provide electronic and manual Bate numbering services as part of our comprehensive document scanning and indexing service. - Manual Bate Numbering uses tags (labels). Tags may be with or without barcodes. Tags using barcodes may have encrypted text related to the information contained within the bar code.
- Electronic Bates Numbering can be assigned in standard or non-standard manner.
- The characteristics of Standard Electronic Bates numbers are:
- One source per box - Numbers are sequential (in order) and increase by one - No links between manual Bates numbering (tags or labels) and the electronic number - Modifications (additions or deletions) are re-numbered before releasing the batch of documents, after scanning. - Non-standard electronic Bates Numbering have the following characteristics:
- Track gaps (also known as ‘trail variances’) - Uses links between physical (manual) Bates Numbers and electronic numbers - Contains different sources of information in a single box - Numbers are tracked non-sequentially Bates numbering documents serves to identify and track documents. It is particularly useful for litigation purposes since it can help identify documents that are withheld on the basis of privilege and to track documents that have been given to consultants, for example.
